Import a bank statement into QuickBooks Online UK

QuickBooks Online UK says PDF statements must be converted and asks for a CSV in a 3-column or 4-column layout. The ExtractPro options for the 3-column file.

If the statement you hold is a PDF, QuickBooks Online UK says it has to be converted before it can be imported. CSV is among the file types it lists, and ExtractPro can write one from the PDF. This guide sets out what QuickBooks says about file types and size, the two CSV shapes it accepts, its rules on signs, dates and descriptions, and the ExtractPro options that give a file with three columns.

What QuickBooks says about PDF statements

QuickBooks’ help article on turning PDF bank statements into CSV begins: “To import bank transactions into QuickBooks, you can use file types like QBO, QFX, OFX and CSV. However, if you have PDF files from your bank, you’ll need to convert them to one of these supported formats using a third-party application.” It also gives a limit: “Tip: Keep in mind, the maximum file size is 350 KB. If the file is too big, shorten the date range and download transactions in smaller batches.” Source: QuickBooks Online UK help, convert PDF bank statements to CSV format, quickbooks.intuit.com/learn-support/en-uk/help-article/import-transactions/convert-pdf-bank-statements-csv-format-quickbooks/L0uvVkT7i_GB_en_GB, accessed 10 October 2026.

The two CSV shapes and the rules that matter

A second article prepares a CSV for upload. It starts with the shape: “QuickBooks can only import CSV files that follow one of two accepted formats: a 3-column or 4-column layout.” Three of its rules bear on a bank statement: “Use negative values for money out (payments).”, “Make sure all dates follow a consistent format — recommended: dd/mm/yyyy.” and “Remove zero values from the Amount, Credit, or Debit columns — leave the cell blank.” Source: QuickBooks Online UK help, prepare a CSV file for bank upload, quickbooks.intuit.com/learn-support/en-uk/help-article/bank-transactions/prepare-csv-file-bank-upload-quickbooks/L4BjLWckq_GB_en_GB, accessed 10 October 2026.

Descriptions are held to a stricter rule

The same article is firm about the Description column: “Ensure the Description column doesn’t contain numbers.” It also tells you to clear characters from every field: “Remove any of the following from all fields (especially the Description column):”. Whatever a statement’s descriptions contain, read the Description column of the CSV against these rules before the upload. The article read for this guide does not say how QuickBooks treats the decimal point in an amount. Setting the ExtractPro options

These options give three columns: the date, the description and one signed amount. The QuickBooks article read for this guide does not name the columns of its 3-column shape, so match the file to QuickBooks’ own description of that shape before you rely on it. In ExtractPro:

  1. 1Open Output format, choose See more formats or customise, then pick Custom.
  2. 2Set File type to CSV.
  3. 3Set Date format to DD/MM/YYYY (15/01/2026), the dd/mm/yyyy order that QuickBooks recommends.
  4. 4Under Amounts, choose Single column (signed), so that money out is written as a negative value in the one amount column.
  5. 5Under Include balance, untick Add Balance column, and leave Categories unticked; each line is then a date, a description and an amount.
  6. 6Set CSV separator to Comma (,) and Number format to Decimal point, no separator (1234.56).
  7. 7Click Apply format and download the CSV.

Uploading the file

QuickBooks’ preparation article gives the last step: “Select the Link account ▼ dropdown, then select Upload from file.” Keep the CSV within the 350 KB quoted above; for a longer period, QuickBooks’ advice is to shorten the date range. Open the CSV next to the statement first: the same transactions should be listed, with payments negative. After the upload, compare what QuickBooks shows with the statement.
