UK bank statements to Excel
What HSBC UK, Lloyds Bank, Barclays, NatWest and six other UK banks say about their statements, quoted, with links to the 10 that have an ExtractPro page.
UK banks word their statement help in different ways, so the quotes below come one bank at a time, followed by links to the 10 UK banks that have a page on ExtractPro. A statement saved as a PDF goes into ExtractPro and comes back as an .xlsx workbook: a row per transaction, date, description and amount in separate columns, the balance included when the statement shows it, and amounts that Excel can total.
What each bank says about its statements
- HSBC UK: “You can download a statement in the mobile banking app or online banking in PDF format – to share purposes or print at home.” and “You can view old statements up to 6 years back in online or mobile banking.”
- Lloyds Bank: “View your statement, save it as a PDF or print a copy.” and “In online banking, you can access statements up to 7 years old. In our app, you can go back at least ten years.”
- Barclays: “You can save your statement by selecting the PDF icon in the toolbar or under the ‘File’ menu.” and “If you receive Online Statements, you can view them online for up to 7 years, as long as the account is still open.” For a closed account it says “statements for that account will be available for up to 5 years.”
- NatWest: “You can access your statements as a downloaded PDF file by selecting 'Statements & transactions' from the main menu, where you can download recent or historic statements going back up to 7 years for the account you choose.”
- Santander UK: “See your account activity from the last 7 years.” and, on the file, “Once you’ve downloaded the PDF, you can print the document.”
- Nationwide: “You can download up to 36 months of your past statements as PDF files.”
- Monzo: “Choose the format you’d like (PDF, CSV, QIF)”.
- Starling Bank: “Choose if you want a PDF or Large print PDF.” For custom dates it says “This can cover any dates in the last 12 months. You can export it as a PDF, large-print PDF or CSV file.”
- first direct: “You can download and view statements in PDF format for most of our accounts as soon as they're available.” and “You can view up to 6 years’ worth of transactions and charges on our App and Online Banking by selecting the account you wish to view and downloading your statement PDFs.” Its footer says “first direct is a division of HSBC UK Bank plc.”
- TSB Bank: “Paperless documents will be in PDF format and they’ll look exactly the same as the paper versions.” and “We will never alter or delete any items in your Digital Inbox.”

PDF is the word in all ten passages above. For eight of the ten, HSBC UK, Lloyds Bank, Barclays, NatWest, Santander UK, Nationwide, Monzo and Starling Bank, a separate guide walks through the download itself.
Where a bank’s export ends and a statement carries on
HSBC UK says “We do offer other file formats, such as Excel (xls) or csv, but this will need to be done via your transactions list.” NatWest says the transaction information “can be found in the standard exportable Excel or PDF format when choosing to download your transactions”. Santander UK’s midata service “allows you to download 12 months of transaction history”, Nationwide says “you can view transactions for the past 15 months” beside its 36 months of PDF statements, and Starling Bank says “Transaction summary exports are not verifiable statements.” When the period you need lies beyond windows like these, or all a client sent is the statement, the statement is what you convert. Why five years matters
HM Revenue and Customs (HMRC) tells the self-employed on GOV.UK: “You must keep your records for at least 5 years after the 31 January submission deadline of the relevant tax year.” For a limited company its page says: “You must keep records for 6 years from the end of the last company financial year they relate to”. Set that against the banks above: HSBC UK and first direct quote 6 years, Lloyds Bank quotes 7 years online and at least ten years in its app, Barclays quotes 7 years, or 5 years for an account you have closed, NatWest and Santander UK quote 7 years, Nationwide shows 36 months of PDF statements, Starling Bank limits a transaction summary to the last 12 months, and TSB Bank says it will never alter or delete any items in its Digital Inbox. The 10 UK banks on ExtractPro
Each name below opens that bank’s page on ExtractPro, where the questions people ask about its statements are answered.
From the statement to a spreadsheet
The steps are the same for every bank, whether the statement came from an app, from online banking, by email or from a client:
- 1Choose the PDF as it was saved and upload it. A password, if there is one, is typed during the upload and the file is unlocked in your browser.
- 2ExtractPro finds the transactions in the table and gives each one a row.
- 3Download the .xlsx: date, description and amount in separate columns, every amount a number, and the balance too when the statement shows it. The custom format gives a CSV instead.
If the CSV is meant for Xero, the Xero guide lists the custom format options to choose; the QuickBooks Online guide does the same for its 3-column CSV. Reconcile against the workbook only when its final balance equals the one on the statement and its row count equals the number of transactions printed.

Frequently asked questions
Which banks have a page on ExtractPro for the UK?
HSBC UK, Lloyds Bank, Barclays, NatWest, Santander UK, Nationwide, Monzo, Starling Bank, first direct and TSB Bank, ten in all. Open any of them to read what that bank itself says about its statements, quoted.
My bank lets me export transactions to Excel. Is that the statement?
In HSBC UK’s wording they are different downloads: “We do offer other file formats, such as Excel (xls) or csv, but this will need to be done via your transactions list.” The statement is the document ExtractPro converts.
Is there a free way to test a conversion on a UK statement?
Yes. The Free plan gives you 2 conversions per month with no card needed, so you can convert one statement from HSBC UK, Lloyds Bank or any other bank listed here, read the workbook and only then think about a paid plan.
