Import a bank statement into Xero in Hong Kong

Xero in Hong Kong has no PDF import, and the HSBC feed leaves some accounts out. The CSV that Xero asks for and the ExtractPro options that write it.

A PDF bank statement cannot go into Xero as it is for an organisation in Hong Kong, because Xero opens PDF imports in just two countries, and neither is Hong Kong. A CSV can. Below are what Xero says about PDF, the accounts HSBC’s feed leaves out, the shape Xero wants the CSV to have and the ExtractPro options that write that file.

Xero and PDF statements

Xero’s article on importing a PDF statement states the limit: “PDF bank statement imports are currently only available in Xero organizations in Canada and the United States.” Its list of supported banks is also confined to those two countries. For Hong Kong, a statement held as a PDF has to become another kind of file first. Where the HSBC feed stops

Xero’s page on the HSBC Hong Kong direct feeds names the accounts it covers: “Eligible account types HSBC Business Internet Banking: HKD current accounts … Savings accounts … Foreign currency accounts … Business Integrated accounts”. For anything outside that, Xero says: “If you have an HSBCnet account, or your account type isn't eligible for a direct feed, manually import your bank statements.” A CSV made from the statement is one way to do that manual import. What Xero asks of the CSV

  • Fields: “You only need the Date and Amount fields to create bank statement lines”.
  • Sign and decimals: “Show income as positive amounts and expenses as negative amounts using a negative sign in front of the amount or with brackets, for example -30.00 or (30.00). Don't use commas to show decimal places.”
  • Balances: Xero lists “Columns containing opening and closing balances, as Xero calculates the bank balance from the transactions” among the columns to delete.
  • Dates: Xero’s example is “DD/MM/YYYY (eg 15/01/2023)”.
  • Size: “You can’t import a CSV file with more than 100,000 rows.”

The ExtractPro options, in order

These are set on the statement you have already converted:

  1. 1Go to Output format, open See more formats or customise and choose Custom.
  2. 2For File type, choose CSV.
  3. 3For Date format, pick DD/MM/YYYY (15/01/2026), the order of Xero’s example.
  4. 4Under Amounts, pick Single column (signed): money out is negative and money in positive, within one column.
  5. 5Under Include balance, untick Add Balance column, and leave Categories unticked, so every line is a date, a description and an amount.
  6. 6Set CSV separator to Comma (,) and Number format to Decimal point, no separator (1234.56): an amount is then written 1234.56, with no comma inside it.
  7. 7Press Apply format and download the CSV.

Loading it into Xero

Xero describes the import in its CSV article. It starts at the Accounting menu, where you “select Bank accounts”, then “click the menu icon, then select Import a Statement”, and it ends with “Click Complete import.” When Xero asks about dates, its wording is: “If prompted, select the date format used in your bank statement”. Choose DD/MM/YYYY there, the format picked in the ExtractPro panel, so the two agree. Before you load the file, set the CSV beside the PDF: the same transactions should appear, and the amounts should add up to the movement over the period. Once Xero has the lines, check them against the PDF as well.
