Hong Kong bank statements to Excel
What HSBC Hong Kong, BOCHK, Standard Chartered HK and five other Hong Kong banks write about their statements, quoted, plus the 8 banks that have an ExtractPro page.
Hong Kong banks call their statements eStatements or e-Statements, and each one describes them on its own site. Bank by bank, those descriptions follow, then links to the 8 Hong Kong banks that have a page here. A statement saved as a PDF goes into ExtractPro and comes out as an Excel workbook (.xlsx): one row for every transaction, with the date, description and amount in separate columns, a balance column when the statement shows it, and amounts that Excel can add up.
What each bank says about its statements
In the bank’s own words:
- HSBC Hong Kong: its FAQ says “All eStatements and eAdvices are in Portable Document Format (PDF).” and that you can view and download eStatements “up to 7 years (84 months)”.
- BOCHK: “You can login to BOCHK Internet Banking and review your daily e-Statements / e-Advices and monthly e-Statements anytime, anywhere.” Its e-Statement page lists the consolidated monthly statement at “7 years (84 months)”.
- Standard Chartered HK: “Enjoy the convenience of viewing and downloading up to 7 years of eStatement via Online Banking or SC Mobile app”. A separate help page on transaction details says “Click on Download CSV file Step 2 Save the document Step 3 Open the Excel document”.
- Hang Seng: for personal customers, “Online access via Hang Seng Personal e-Banking or Hang Seng Personal Banking mobile app up to past 7 years of statements and past 6 months of advices”; in business e-Banking, “view and download PDF files by date or account number”.
- BEA: its cyberbanking FAQ says the e-Statement / e-Advice service gives you a way “to view your account statements and transaction details in PDF format via BEA Online”, and that e-statements can be viewed “for up to the past seven years through BEA Online”.
- Citibank Hong Kong: “View up to 7 years of your past e-Statements anytime, anywhere.” and “e-Statement will be in Portable Document Format ("PDF").”
- DBS Hong Kong: “You can view up to 84 eStatements issued within the past 7 years”, and “Adobe Acrobat Reader is required for viewing, printing and saving the eStatements / eAdvice.” For business customers, DBS IDEAL lets them “retrieve transactions for the past 6 months”.
- ICBC (Asia): “e-Statements are in Portable Data Format (PDF)”, and in the app you “filter through e-Statements generated within the last 84 months”.

Four banks name the PDF in their own words: HSBC Hong Kong, BEA, Citibank Hong Kong and ICBC (Asia). Hang Seng does so for its business e-Banking. BOCHK, Standard Chartered HK and DBS Hong Kong do not, so with them the PDF is the file to upload if that is what you saved. Five of the banks, HSBC Hong Kong, Hang Seng (business), BEA, Citibank Hong Kong and ICBC (Asia), also have a step-by-step download guide on ExtractPro.
Where a bank’s screen history ends and a statement carries on
HSBC Hong Kong says that for a current account, savings account or Gold Account you can view “transactions that have taken place since your last bank statement”, so earlier months are in the eStatement. Standard Chartered HK offers a download of transaction details as a CSV, and DBS IDEAL, for business customers, lists “MT940 SWIFT”, “MT940 SAP” and “CSV (Comma Separated Values - with column headers)”. So for months before the last statement, or for a period beyond the 6 months DBS IDEAL retrieves, or when a client has handed you nothing but the statement, the statement is the document you convert. Why seven years matters
The Inland Revenue Department’s guidance on business records lists bank statements among the records to keep, and says they are to be “retained for a period of not less than 7 years”. Seven years (84 months) is also the span that HSBC Hong Kong, BOCHK, Standard Chartered HK, Hang Seng (for personal customers), BEA, Citibank Hong Kong and DBS Hong Kong quote above for their statements. The 8 Hong Kong banks on ExtractPro
Each name below leads to a page for that bank, with the questions people put about its statements.
From the statement to a spreadsheet
The steps do not depend on the bank. They apply to a statement fetched from Online Banking, saved from an app, received by email or passed on by a client:
- 1Choose the PDF as it was saved and upload it. If it has a password, you enter it during the upload.
- 2ExtractPro lists the transactions in a table and gives each its own row.
- 3Download the .xlsx: date, description and amount in separate columns, the balance as well when the statement shows it, every amount a number. A CSV is available through the custom format.
If the file is going into Xero, the Xero guide shows which custom format options to select. Ahead of the reconciliation, compare the last balance of the workbook with the statement, and its row count with the transactions the statement prints.
Frequently asked questions
The questions that come up most:
Frequently asked questions
Does ExtractPro have a page for my Hong Kong bank?
There are eight pages: HSBC Hong Kong, BOCHK, Standard Chartered HK, Hang Seng, BEA, Citibank Hong Kong, DBS Hong Kong and ICBC (Asia). Each carries that bank’s own wording about its statements.
My bank emailed me the eStatement. Is that file usable?
If it is a PDF, yes. HSBC, for one, says: “They'll also be sent to your designated email address, protected by a password.” Save the attachment, upload it as it is and type the password during the upload; the workbook comes back as .xlsx.
Is there a way to test it without paying?
Yes, and no card is asked for. The Free plan gives you 2 conversions per month, so you can run one statement from HSBC Hong Kong, BEA or another bank on the list before choosing a paid plan.
