T&T: import a bank statement into QuickBooks Online
QuickBooks Online’s global help asks for a file in English, three or four columns and one date format. The rules, the steps that load it and the ExtractPro options.
Intuit’s country chooser lists Trinidad and Tobago and sends it to the global QuickBooks site. This guide quotes the article’s rules for a 3-column file, gives the ExtractPro options that write one, and walks through the screens where QuickBooks Online takes the file.
Which QuickBooks help applies
Intuit’s page for choosing a country has a link for Trinidad and Tobago, and the link opens the global QuickBooks site. The help that applies is therefore the global article on uploading transactions manually. The article’s rules for the file
- Language and size: “Your upload file must be in English and 350 KB or less.”
- Columns: “Each file needs either 3 (Date, Description, Amount) or 4 (Date, Description, Credit, and Debit) columns.”
- Dates: “Enter all Dates in the same format. We recommend dd/mm/yyyy format.”
- Zeros: “Leave any cells in Amount, Credit, or Debit that only contain zero (0) blank.”
- Descriptions: “Remove numbers from cells in the Description column.” ExtractPro writes each description as the statement gives it, digits included, so this one is done by hand in a spreadsheet, against an unedited copy.
- Length: “You can include up to 1,000 lines per upload.”

Setting the ExtractPro options
The panel below writes the 3-column shape, with a date, a description and one signed amount on each line. In ExtractPro:
- 1In the Output format section, open See more formats or customise and pick Custom.
- 2Set File type to CSV.
- 3Set Date format to DD/MM/YYYY (15/01/2026), the order QuickBooks recommends.
- 4Under Amounts choose Single column (signed), so that each line holds one amount.
- 5Under Include balance leave Add Balance column unticked, and leave Categories unticked too, so a line is a date, a description and an amount.
- 6For CSV separator pick Comma (,) and for Number format pick Decimal point, no separator (1234.56).
- 7Choose Apply format and download the CSV.
Loading the file into QuickBooks Online
The same article lists the screens in order, and each step below carries the words QuickBooks uses:
- 1Open the menu of apps, then “select Accounting, then select Bank transactions”.
- 2Open the Link account dropdown and “select Upload from file.”
- 3Add the CSV: “Select Drag and drop or select files, and select the file you downloaded from your bank. Then, select Continue.”
- 4Choose the destination: “select the account you want to upload the transactions into, then select Continue.”
- 5“Match the columns in the file with the correct fields in QuickBooks. Then select Continue.”
- 6“Select the transactions you would like to import. Then select Continue.”
- 7Finish with “Select Yes, then select Done.”

Matching the columns
At the matching step the file is laid against QuickBooks’ fields. In the file these settings write, with the default column order, the columns run date, description, amount, which are the three fields the article lists for a 3-column file, so each column goes to the field of the same name.
At the selection step, run down the dates and amounts that QuickBooks Online lists and check them against the statement before you confirm.
