Import a bank statement into QuickBooks Online Canada

QuickBooks Online Canada wants 350 KB or less, three or four columns, dd/mm/yyyy dates and no numbers in descriptions. The ExtractPro options for the 3-column CSV.

QuickBooks Online in Canada takes bank transactions from a file, within limits on size, language, columns and lines. CSV is among the file types its help lists, and ExtractPro can write one from a PDF statement. This guide sets out what QuickBooks asks of the file, the rule on descriptions that needs your hands, and the ExtractPro options that give a file with three columns.

What QuickBooks Online Canada asks of the file

The help article on manually uploading transactions begins with the limits: “Your upload file must be in English and 350 KB or less.” On the columns it says “Each file needs either 3 (Date, Description, Amount) or 4 (Date, Description, Credit, and Debit) columns.” Source: Manually upload transactions into QuickBooks Online, quickbooks.intuit.com/learn-support/en-ca/help-article/import-transactions/manually-upload-transactions-quickbooks-online/L0rE9OXBz_CA_en_CA, accessed 8 October 2026.

Dates, zeros, lines and descriptions

Four more rules in the same article bear on a bank statement. On dates: “Enter all Dates in the same format. We recommend dd/mm/yyyy format.” On zeros: “Leave any cells in Amount, Credit, or Debit that only contain zero (0) blank.” On length: “You can include up to 1,000 lines per upload.” And on descriptions: “Remove numbers from cells in the Description column.” Source: Manually upload transactions into QuickBooks Online, quickbooks.intuit.com/learn-support/en-ca/help-article/import-transactions/manually-upload-transactions-quickbooks-online/L0rE9OXBz_CA_en_CA, accessed 8 October 2026.

The rule on descriptions

That last rule is the one to plan for. A bank description often carries numbers, such as a cheque number or a terminal number, and the ExtractPro options below do not edit the text of the descriptions. Before the upload, open the CSV and remove the numbers from the Description column in the spreadsheet, then read the edited column against the statement so that each line can still be recognised.

Setting the ExtractPro options

The settings below give each line a date, a description and one amount: the three fields QuickBooks lists for a 3-column file. In ExtractPro:

  1. 1Open Output format, pick See more formats or customise, then choose Custom.
  2. 2Set File type to CSV.
  3. 3For Date format, choose DD/MM/YYYY (15/01/2026), the order QuickBooks recommends.
  4. 4In Amounts, choose Single column (signed), so each line carries one amount.
  5. 5Under Include balance, leave Add Balance column unticked, and leave Categories unticked as well.
  6. 6Pick Comma (,) for CSV separator and Decimal point, no separator (1234.56) for Number format.
  7. 7Choose Apply format and download the CSV.

Before and after the upload

Check the edited CSV against the limits quoted above: 350 KB, 1,000 lines, and any cell that holds only zero left blank. The article’s last instruction is “Match the columns in the file with the correct fields in QuickBooks.” In a 3-column file that means the date, the description and the amount. Once QuickBooks shows the lines, compare them with the statement. Frequently asked questions

How large can the file be for QuickBooks Online Canada?

The article sets two limits: “Your upload file must be in English and 350 KB or less.” and “You can include up to 1,000 lines per upload.” Look at the CSV’s size and its line count before you upload it.

Which date order does QuickBooks Online Canada recommend?

It says “Enter all Dates in the same format. We recommend dd/mm/yyyy format.” That is the DD/MM/YYYY choice in the ExtractPro panel.

What does QuickBooks Online Canada say about the Description column?

The article tells you “Remove numbers from cells in the Description column.” ExtractPro’s options leave the description text as it is, so the numbers come out of the spreadsheet by hand before the upload.
