Canadian bank statements to Excel

Seven years of statements at the bank, a shorter window on screen: what seven Canadian banks say, and the route to Excel.

This guide gathers what seven Canadian banks say on their own pages about how long a statement stays available and how much the screen shows, and links to the 10 Canadian banks that have a page on ExtractPro. Whichever bank it comes from, an uploaded statement returns as an .xlsx file: one row per transaction, with date, description and amount apart, amounts that Excel treats as numbers, and the balance too if the statement shows one.

Seven years of statements, a shorter window on screen

  • RBC: “Your eDocuments will be available for up to 7 years in Online Banking.” and “However, some Custom Statements can only go back up to 18 months.”
  • TD Canada Trust: “Access up to seven years of online statements from the time you switch.”
  • Scotiabank Canada: “Your statements are also archived for up to 7 years.”
  • CIBC: “View up to 7 years of your credit card and bank account eStatements online and on your mobile device.”
  • BMO: “We save your statements for up to seven years”.
  • EQ Bank: “Statements are available for seven years after the end of the period to which they relate.”
  • ATB Financial: “You’ll see the last 12 monthly statements from the selected account(s), or can you pick a specific year (in the last seven) to View statements from that calendar year.”

Seven years is the archive. The screen is a shorter window. RBC’s page on managing accounts says “Online banking allows you to review up to 1000 transactions online”, and the periods it offers run up to “one of the last three months”. Scotiabank Canada’s eStatements page sets the period to look at, print or save at “view, print, or download 24 months of history”, with the archive behind it at “up to 7 years”. A shorter window on screen does not replace the document. When a month falls outside what the screen shows, the statement from the archive is the file to convert, and the same goes for a statement that a client sends you. Step-by-step download guides, with the bank’s own wording, exist for four of the banks:

  • How to download an RBC bank statement
  • How to download a TD Canada Trust bank statement
  • How to download a Scotiabank Canada bank statement
  • How to download a CIBC bank statement

From the statement to a spreadsheet

A statement can be one you saved from your own banking or one a client forwards; either way the route is short, in three steps:

  1. 1Pick the statement exactly as the bank or the client gave it to you and upload it.
  2. 2ExtractPro reads the transactions in the statement and gives each of them a row.
  3. 3Download the .xlsx: date, description and amount sit in separate columns, every amount is stored as a number, and a balance column is added when the statement shows it. The custom format writes a CSV instead.

For a file headed to QuickBooks Online, the QuickBooks guide sets out which custom format options to choose. Compare the workbook with the statement before you depend on it. Its rows should number the transactions listed, and its last balance should be the closing balance if the statement prints one.

Which Canadian banks can I convert a statement from?

ExtractPro has a page for each of RBC, TD Canada Trust, Scotiabank Canada, CIBC, BMO, National Bank of Canada, Tangerine, EQ Bank, Simplii and ATB Financial, ten banks. On every page the bank’s own help wording about statements is quoted.

How long do the banks above keep a statement online?

RBC, TD Canada Trust, Scotiabank Canada, CIBC, BMO, EQ Bank and ATB Financial each give a figure of seven years, in wording of their own, and the guide above quotes each one. RBC adds that “some Custom Statements can only go back up to 18 months”.

Is there a free way to test a Canadian statement?

There is. The Free plan allows 2 conversions per month with no card, enough to run a statement from RBC or any of the other banks above and look over the workbook. If you go further, the pricing page shows the paid plans and their prices for Canada.
